1Who we are

2Two roles, one statement
We handle personal data in two distinct capacities:
- As a controller, for this website, for sales and demo enquiries, for our own customer records and for support contacts. This statement covers that processing.
- As a processor, for the workforce data our customers hold in the timeware® HRMS cloud service. There, your employer is the controller and our Data Processing Addendum governs the processing. If you are an employee of a timeware customer and want to exercise your rights over data in the service, contact your employer; we will assist them.
3What we collect and why
- Enquiries and demo requests: name, company, contact details and your message, used to respond and, where relevant, arrange a demonstration. Lawful basis: legitimate interests.
- Customer and account records: contacts, orders and billing details for customers, processed to perform the contract. Payments are handled by Stripe, our payment provider.
- Support: contact details and the content of support requests, processed to perform the contract.
- Website analytics: standard internet log information and visitor behaviour patterns via Google Analytics, processed so it does not directly identify anyone. We do not make, and do not allow Google to make, any attempt to identify visitors.
4Cookies
We use a consent tool for the optional Google Analytics cookies; the cookies set by the tool itself are necessary and record whether you consented. You can change your preference at any time. We set no advertising cookies.
5How long we keep it
Enquiry records are kept while we deal with the enquiry and for a reasonable period after. Customer records are kept for the life of the contract and as required by law (for example HMRC accounting rules). We do not keep personal data longer than needed for the purpose it was collected.
6Where it lives and who sees it
Our systems and the timeware® HRMS service are hosted in UK Microsoft Azure regions. We do not sell personal data and share it only with the service providers needed to run the business, under contract: Microsoft Azure (hosting, UK), Stripe (payments) and Google (analytics). Links to third-party websites are outside this statement; we encourage you to read their privacy notices.
7Your rights
Under UK GDPR you can ask for access to your personal data, correction, erasure, restriction, portability, and you can object to processing based on legitimate interests. Contact our data protection officer to exercise any of these. You also have the right to complain to the Information Commissioner’s Office: ico.org.uk.
