Sickness
Jade has a stomach bug. When can she come back near open food?

Jade reports sick from her phone
At 05:40 on Monday, before her early shift, she reports sickness and diarrhoea. No phone call, and it reaches Tom before the line starts.

Kept off for 48 hours after her symptoms
Her last symptom was Tuesday at 14:00, so she is clear to return from Thursday at 14:00. Until then her door access is paused.

Jade knows exactly when she can come back
Her phone shows when she is clear to return, and that the doors will not let her in until Thursday at 14:00.

Every door system knows, but not why
BioStar 2 and the factory's Suprema readers pause her until Thursday at 14:00, then let her in again. Nothing is deleted, and her illness never leaves timeware®.

Her return-to-work interview, with the facts ready
The interview is due when she is back. Five short absences this year give a Bradford Factor of 175, so Tom has a fair, informed talk.
Kept off the line until she is clear, without anyone remembering to check.

New starter
Lewis starts on Monday. Is everything ready?

Priya enrols Lewis in a few minutes
She copies a line operator on the same shift and sets his first day. His policy adds every check he needs, each due before he starts.

Lewis fills in his form on his phone
A secure link opens the form with what Northfield already knows. A code sent to his email proves it is him, with no account to set up.

Right to work checked, next check booked
Priya checked his share code online. His permission is time-limited, so the next check is already due on 14 February 2028, before his protection ends.

Every check on his record, ticked off
Form back, right to work seen, contract signed. His DBS check is in progress, linked to the application and due before Monday.

Only his DBS check is left
Priya's dashboard lists what every new starter still needs. For Lewis it is one thing, so nothing is missed before his first shift.
Ready for day one, and the proof is on file.

Leave request
Can Megan have Friday off for her sister's wedding?

Megan asks for Friday off
On her way in, she asks from her phone for Friday 30 October. She can see it waiting for review, and the one day it uses.

Tom sees it on his dashboard
Her request waits at the top of his leave alert, with the others asked for this week. No texts, no paper forms.

Everything he needs to decide
Her words, her allowance before and after, and a warning that the warehouse would be one short of the 15 it likes on Friday.

Who else is off that day
Owen and Darren already have Friday off. It is the busiest day, but 14 people is enough, so Tom says yes.

Approved, and on the planner
One click and Friday is booked. Her planner, the rota and her timesheet all know she is off, with 23 days left.

Megan hears straight away
Her phone shows Friday approved the moment Tom says yes. She can tell her sister before her tea break.
Asked, checked and approved before her tea break.

Pay query
Two hours of Saturday overtime are missing from my pay.

Kyle asks from his timesheet
Saturday's two hours are not there. He asks from the timesheet itself, so nobody has to work out which week or which shift he means.

Priya answers with his timesheet beside it
His question arrives assigned to her, marked high priority, with his October timesheet one click away. She replies the next morning.

The fix, straight from the thread
She opens his timesheet from the conversation and adds Saturday's 9:00 to 11:00. timeware® works it out as 2 hours at time and a half.

Sorted, and on the record
Kyle hears it is fixed before payroll runs and says thanks. The whole exchange stays on the record with his timesheet.
Asked from his phone, fixed before payroll, on the record.
That is pay query at Northfield Foods. In a demo we run it on your own sites, shifts and rules.
Timesheet review
Daniel forgot to clock out after Friday's night shift. Is his pay still right?

The dashboard spots the missing clock-out
Tom's alerts list every shift with a missed clocking. Daniel's Friday night has a clock-in at 21:58 and nothing after it.

His timesheet shows exactly what is wrong
One click shows the only shift with a problem. Until it is fixed, the night counts as 7 hours short, so nobody is paid by guesswork.

Tom adds the clock-out in two clicks
One button adds the planned shift end at 06:00. When Tom saves, the hours and pay are worked out again straight away.

Every minute of pay explained in words
21:58 rounds to 22:00 under the 15 minute rule, the hour's unpaid break comes off and two paid breaks stay. Seven hours of basic pay, with the reason shown.

Clean, costed and ready for month end
No anomalies left. When October closes the timesheet moves to review, and Tom approves it knowing every hour adds up.
Fixed in a minute, and every figure explains itself.

Short-staffed shift
Wednesday night's line is two people short.

The night line needs 30 people
Tom sets the rule once: at least 30 on the night crew, never more than 32. The roster checks every night against it.

Wednesday night turns red
With one operator on holiday and a place unfilled, Wednesday's night shift drops below the minimum. Tom sees it days ahead, not at 22:00.

Two places offered in one go
timeware® works out the gap: 28 of 30 people, so 2 places. Tom ticks the night shift and offers it in the app.

Free colleagues see it on their phones
Only people free that night, with enough rest, are offered the shift. They join with one tap.

Both places filled, no phone calls
The two people who took the places are on the roster and the badge turns green: 2 of 2 filled.
Filled by lunchtime. No phone calls.

Fire evacuation
The fire alarm goes. Is everyone out?

Who is on site, right now
Roll call knows who is in from their clockings, and the visitors signed in at reception, so the fire list is right the moment the alarm sounds.

Aisha starts the drill
One window: a practice or the real thing, which sites, and whether staff are told. Everyone clocked in and every visitor goes on the list.

Marshals count everyone in
At the assembly point the Safety Marshal app lists who should be there. A swipe marks each person safe, and the ring shows who is still to find.

Everyone found: the all clear
When the last person is found, Aisha sends the all clear from her phone. Every mark keeps its time, even one made offline.

Every drill timed and kept
The drill is kept with its timings: the first person found, nine in ten, and the all clear in 4 minutes 35. Evidence for the fire risk assessment.
Everyone accounted for in under five minutes, and the drill on file.

Ready for payroll
Is every September timesheet signed off, and what did the month cost?

Finalise the whole month at once
Grace selects every timesheet waiting for her. timeware® checks each one first and shows 37 of 37 ready, so one click locks the month.

The figures payroll needs, on one page
A saved report lists every finalised timesheet with its payroll number and hours for each pay element. Grace runs it whenever she needs it.

See where the money went
Hours and cost split by cost centre, straight from the finalised timesheets. Production cost 161,003 pounds, of which 10,099 was overtime.
Signed off, reported and costed, without a spreadsheet.
That is ready for payroll at Northfield Foods. In a demo we run it on your own sites, shifts and rules.
Queries
Who worked the most overtime this month?

Priya asks in plain English
No report builder and no spreadsheet. She opens Queries from any page and types the question the way she would ask a colleague.

A straight answer, with the records
Kyle Barnes leads with 5 hours. The answer comes as a table, 80 hours across 42 people, with a button to open each timesheet behind it.

Ask again, get a chart
She asks to see it by week and shift and gets a chart straight away. Last week the lates did the most.
A straight answer in seconds. No report builder.

Verbal warning
Ryan keeps arriving late for his shift. How does Tom deal with it fairly, and on the record?

Tom writes down what happened
Five late starts in four weeks, with dates and minutes, against the attendance policy. It stays an allegation until the hearing, and the clocking records back it up.

Ryan has his say, with a colleague
At the hearing on 14 October Ryan explains the changed bus route and how he has fixed it. A colleague goes with him, as the law allows, and it is all on record.

A verbal warning, with its end date
Tom gives a verbal warning that ends on 16 April 2027, and writes down what happens next. The case records that the Acas Code was followed.

Ryan confirms he has read the letter
The letter is emailed from the case. Ryan opens it and ticks that he has read it, and timeware® records when, so nobody can say it never arrived.
Fair, by the Acas Code, on the record, and it ends when it should.

Working within the law
Are we keeping to working time, night work and right to work rules?

Warned before the 48-hour limit is broken
Kelly averages 59.4 hours a week over 17 weeks, and her rostered shifts would still leave her over. Priya knows before it becomes a breach.

Her working time rules on one page
No signed opt-out, so the 48-hour average applies. Her pattern makes her a night worker, so she must be offered a free health assessment.

The free health assessment, offered and recorded
With Kelly's consent on file, Priya offers the night-worker assessment the law requires. The record shows it is waiting for her answer.

Visas tracked before they run out
Mohammed's Skilled Worker visa ends on 20 November. The next check is due that day, so Priya can renew the check in time and stay protected from a fine.
The law checked every day, not at audit time.
That is working within the law at Northfield Foods. In a demo we run it on your own sites, shifts and rules.
Training curriculum
Is everyone on the line trained, and who is due a refresher?

One curriculum for every line operator
Priya sets out what the role needs: induction, food safety, hygiene and safe lifting. Each requirement says what proves it and how often it renews.

The dashboard shows who is behind
No spreadsheet to chase. The training gaps alert lists every line operator still missing something, and Paula has one requirement overdue.

Her food safety certificate has run out
Paula's level 2 certificate from September 2023 lasted three years, so it shows overdue. This year's food hygiene policy is still to sign.

Paula signs the policy on her phone
She reads the policy on her break and signs with one tap. Her name and the date are kept on her record, and the requirement is met.
Every line operator's training at a glance: what is met, what is due and what has run out.

Social feed
How do we reach people who never sit at a desk?
Priya asks everyone at once
She writes one post with a poll of three party dates. The preview shows exactly how it will look on everyone's phone.
It lands on every phone
Warehouse, nights and the office all see it in the app. Megan votes on her way in, and so do 49 others.
The answer, by the next morning
Fifty votes and the comments in under a day: Friday 11 December wins. Priya answers Megan's question right in the thread.
Everyone hears the news and has their say, on the phone in their pocket.
